TIPS TO RUN A SSS CENTRE


Registration related:


1. Any centre with more than 15 registration (6 years and above).
2. If a centre got shortage of registration (<15) , at valay level, swayamsevaks at other centre may be realigned to this centre.
3. Have walk-in registrations. Else, send them to the nearest centre.


Stickers:


1. Stickers (with Bharatmata photo) should be given to all the participants on second day.
2. If the stickers are more, we can as well distribute them all. 30 stickers are given to each centre.
3. It is very difficult to peel it off. Hence, we can suggest to cut the sticker part slightly at one corner so that peeler part remains to remove it.

Bhandars:

1. Tally the material supplied with the table given. Note, if there is any discrepancy.
2. One book needs to be distributed to all (Samskarabindu) . 30 books are given. The remaining books need to be returned.
3. Kindly note the details of the persons if he is in need of any item which is exhausted in the Bhandar. Samskrita Bharati will take care of it. But, we need to highlight it. We can keep a copy of the information and can be shared.

Shikshaks:

1. Let us plan to accommodate the Shikshak for one or two days.
2. Let us introduce the shikshaks to the participants at the beginning.
3. If the shikshaks have come out of Bangalore, we need not give the transportation charges to them. Aksharam will initially pay them. We are providing the expenses from the received money. If we are providing transportation, then also we need not give. Else, the actual need to be given.

General:

1. We can have inauguration by lighting lamp in front of Bharatmata photo, by an eminent person, may be President of the Apartment Association. Kindly don’t give any time to speech. Same platform can be used to give vote of thanks. Else, we can have a closing ceremony, where we can call some eminent person and use the platform for giving vote of thanks. It is left to our discretion.
2. Distribute some of the sheets provide to all as per the shikshak’s suggestion.
3. Collect feedback form of Samskrit Bharati and return it with Bhandar. If the shikshak insist that it should be given to him, kindly do.
4. Take sufficient number of copies of samskrit words given in the document section, for distribution, if it is not given separately.

Valay level SSSs Vyavasta Pramukhs baithak at Aksharam

We now have hardly 2 week ends left with for the Samskrit Sambhashan Shibirs (Nov.22 and Nov.23). Now, we also need to focus on the vyavasta related activities.

In this connection, we have Valay level Samskrit Sambhashan Shibirs Vyavasta Pramukhs baithak at Samskrit Bharati Karyalaya. The address is given below.

All the vyavasta related persons at Valay level (may be Valay vyavasta pramukhs or the designated one) are expected to attend. Since the Bhandar and other material also will be given at the time, it is better come with a vehical wherein it will be easily transportable (one bundle per centre, depends upon the number of centres in our Valay).

Guidelines

Guidelines for a centre:
  • A coordinator and a co-coordinator
  • Room/Hall which can accommodate min.25 people.
  • Good lighting/ventilating conditions
  • Toilets.
  • Place for lunch distribution (optional)/ can be managed in the same hall.
  • Easy Access.
Who can be a coordinator?

  • Any body who has the confidence of managing a centre in all aspects can become a coordinator.
  • All MS and above Karyakartas are expected to coordinate one centre each.

Can a coordinator have co-coordinator?

  • Yes, he can have a co-coordinator. Infact, it is highly encouraged, who can share some of the responsibility for organizing.
  • Other Swayamsevaks in the Milan can be distributed among the centres and thus can help for the smooth organization of the centre.

Guidelines for a coordinator/ co-coordinator:

  • Better prepare one rubber stamp giving details of coordinator’s name, phone number and email id, for stamping the leaflets and receipts (can use other methods also – such as, writing on every leafs, using printed stickers etc.).
  • Registering 25 people for the workshop (max.30 and min.20
  • Chairs for sitting.
  • Water vyavasta
  • Breakfast/ lunch/ tea vyavasta – such that it reaches within time.
  • Arranging a TV or a laptop with wide screen, for showing CDs.
  • Arranging blackboard/ white board and other paraphernalia for this, wherever possible.
  • Arranging transportation facility for the Samskrit Bharati people or paying the transportation expenses.
  • Arranging exhibition – of Scientific charts given by Samskrita Bharati and of other items.
  • Bhandar – of Samskrita Bharati books/ CDs etc.
  • During workshop, need to register persons who are interested in correspondence course or Samskrit magazines.
  • On 2nd day evening (Sunday, 23rd), all the account should be cleared with Valay Vyavasta Pramukhs assigned with this activity – it includes Bhandar, exhibition materials, accounts etc.
  • 5% of the total registration collected, should be given to Valay Vyavasta Pramukhs assigned this activity.

Items available from Valay to a centre:

  • Atleast 4 posters
  • Atleast 60 leaflets
  • 3 receipt books, each having 10 leafs.
  • Additional copies of above items will be available with Sri Devanand (9449824519), Sri Prabhat and Sri Madhusudan (9448417736).
  • Bhandar/ exhibition materials/ distribution materials – one week prior to the workshop.

Registration:

  • Registration fee per person, for adults – Rs.200/- and children (6 to 12 years) – Rs.100/-
  • Family participation is encouraged.
  • Children are allowed only when parent participates.
  • Restrict to 25 only.
  • First come, first serve basis.

Items available for Valay from Kendra:

  • Posters, leaflets, receipt books are already made available. 3 receipt books for each centre.
  • Bhandar/ exhibition materials/ distribution materials – two weeks prior to the workshop and should be collected from Sri Madhusudan.

Role of Valay Vyavasta Pramukhs assigned with this activity:

  • Collect items from Kendra (Sri Madhusudan) – 2 weeks prior to the workshop from Aksharam.
  • Distribute them to the centres in our Valay.
  • Settle the accounts of all the centres by 23rd evening – includes Registration/ Bhandar/ exhibition materials/ 5% collection from each centre.
  • Settle the valay account with Kendra (Sri Madhusudan) by subsequent week-end.

  • Point of contacts for a centre is centre coordinator – PCC.
  • Point of contacts for a valay is Valay KVs or any other assigned person –PCV
  • Point of contacts for a Khand is Khand KVs – PCK
