Guidelines

Guidelines for a centre:
  • A coordinator and a co-coordinator
  • Room/Hall which can accommodate min.25 people.
  • Good lighting/ventilating conditions
  • Toilets.
  • Place for lunch distribution (optional)/ can be managed in the same hall.
  • Easy Access.
Who can be a coordinator?

  • Any body who has the confidence of managing a centre in all aspects can become a coordinator.
  • All MS and above Karyakartas are expected to coordinate one centre each.

Can a coordinator have co-coordinator?

  • Yes, he can have a co-coordinator. Infact, it is highly encouraged, who can share some of the responsibility for organizing.
  • Other Swayamsevaks in the Milan can be distributed among the centres and thus can help for the smooth organization of the centre.

Guidelines for a coordinator/ co-coordinator:

  • Better prepare one rubber stamp giving details of coordinator’s name, phone number and email id, for stamping the leaflets and receipts (can use other methods also – such as, writing on every leafs, using printed stickers etc.).
  • Registering 25 people for the workshop (max.30 and min.20
  • Chairs for sitting.
  • Water vyavasta
  • Breakfast/ lunch/ tea vyavasta – such that it reaches within time.
  • Arranging a TV or a laptop with wide screen, for showing CDs.
  • Arranging blackboard/ white board and other paraphernalia for this, wherever possible.
  • Arranging transportation facility for the Samskrit Bharati people or paying the transportation expenses.
  • Arranging exhibition – of Scientific charts given by Samskrita Bharati and of other items.
  • Bhandar – of Samskrita Bharati books/ CDs etc.
  • During workshop, need to register persons who are interested in correspondence course or Samskrit magazines.
  • On 2nd day evening (Sunday, 23rd), all the account should be cleared with Valay Vyavasta Pramukhs assigned with this activity – it includes Bhandar, exhibition materials, accounts etc.
  • 5% of the total registration collected, should be given to Valay Vyavasta Pramukhs assigned this activity.

Items available from Valay to a centre:

  • Atleast 4 posters
  • Atleast 60 leaflets
  • 3 receipt books, each having 10 leafs.
  • Additional copies of above items will be available with Sri Devanand (9449824519), Sri Prabhat and Sri Madhusudan (9448417736).
  • Bhandar/ exhibition materials/ distribution materials – one week prior to the workshop.

Registration:

  • Registration fee per person, for adults – Rs.200/- and children (6 to 12 years) – Rs.100/-
  • Family participation is encouraged.
  • Children are allowed only when parent participates.
  • Restrict to 25 only.
  • First come, first serve basis.

Items available for Valay from Kendra:

  • Posters, leaflets, receipt books are already made available. 3 receipt books for each centre.
  • Bhandar/ exhibition materials/ distribution materials – two weeks prior to the workshop and should be collected from Sri Madhusudan.

Role of Valay Vyavasta Pramukhs assigned with this activity:

  • Collect items from Kendra (Sri Madhusudan) – 2 weeks prior to the workshop from Aksharam.
  • Distribute them to the centres in our Valay.
  • Settle the accounts of all the centres by 23rd evening – includes Registration/ Bhandar/ exhibition materials/ 5% collection from each centre.
  • Settle the valay account with Kendra (Sri Madhusudan) by subsequent week-end.

Point of contacts (PC):

  • Point of contacts for a centre is centre coordinator – PCC.
  • Point of contacts for a valay is Valay KVs or any other assigned person –PCV
  • Point of contacts for a Khand is Khand KVs – PCK
  • Point of contact for overall activity – Sri Devanand, 9449824519.

Accounts related contacts (AC):

  • At centre level – coordinators only – PCC is also ACC
  • At valay level – Valay Vyavasta Pramukhs or assigned persons – ACV
